What Is WorkPal?
WorkPal is a mobile and desktop app that allows customers to easily manage their entire workflows from job management, tracking, reporting and invoicing, all from the palm of their hand. The app also allows for important checks to be completed such as vehicle checks for field-based staff.
Why Was WorkPal Developed?
WorkPal was developed in 2013 as a response to the growing need for a more efficient way of managing field-based staff. Many of WorkPal’s Barclay Communications customers in the renewables, electrical, plumbing, and heating and facilities management trade were approaching the firm and asking if there was a workflow system out there that could streamline their workflows and improve business process.
How Does It Work?
WorkPal is used to create customised job sheets and instantly assign them to field workers. The smartphone app guides field workers through the tasks, working both online and offline. Completed jobs will sync detailed reports back to the office system, including job notes, forms, photographs and customer signatures. Everything is logged with timestamps and GPS tracking information. Job progress notifications are automatically sent to management. WorkPal will accurately track worker shifts and job time, eliminating the need for paper timesheets. The user can also invoice clients with costs directly captured in WorkPal. The system will communicate directly with business account software, and export data to a variety of formats. This end-to-end process management is key, and makes sure that the accounts department is totally integrated with the people in the field and everyone in-between.

How Does It Help Local Businesses?
There are many benefits of utilising the WorkPal technology
For starters, it means the whereabouts of field operatives can be tracked from the start-tofinish of work, meaning it’s easier for the boss to keep control, no matter where they or their workers are. And, of course, it does away with the need for endless reams of paper records. One advantage this product has over the competition is that it is a lot more user-friendly. Uniquely, it can be integrated with a company’s own internal systems making it much more effective.
WorkPal now have a diverse range of clients from winter maintenance suppliers, plumbers, electrical engineering contractors, renewable energy contractors and ventilation contractors. There are a few other systems available out there, but they are non-customisable, off-the-shelf products. WorkPal is very flexible as the product was wholly developed in-house at Barclay Communications.
WorkPal are finding many customers are now winning more business and tenders thanks to the traceability of job tracking and reporting that WorkPal provides. On average, the WorkPal system is saving customers £12,000 per year in administration costs – which means the savings can be invested into other areas of their business. The app can cost as little as £15 per user/per month and as WorkPal have now scrapped their standard set-up charges, customers are able to see a further return on their investment within the first 12 months.
It has become a game-changer for a lot of customers. In this day and age, when costs only seem to be increasing, a product like this, which can drastically reduce your cost base, is a no-brainer. One user of WorkPal, Susan McBrien, Coral Environmental, is clear about the system’s benefits: “Moving to WorkPal has revolutionised our workflow process. Technicians are now able to complete on-site forms, upload clients’ signatures and sync all of the data back to the office.” “Before we had WorkPal, technicians could be on the road for up to two weeks, simply because we work all over the country, which was delaying handing in of paperwork and reporting to clients. It was also slowing down invoicing.” “Moving to WorkPal was not a difficult process at all. At first, we thought it was going to be difficult, given the amount of data that had to be moved online. “We thought it would be both laborious and stressful, but it was seamless, and we are practically now paperless. “We have saved a huge amount of money. We estimate – conservatively – between £15- 20,000.” Another client, Graham Shaw, Works Services, Salt Works, added: “WorkPal, in one sentence, has allowed us to streamline our business. “Purely, in terms of becoming more efficient and saving money, I recommend other businesses investigate it.”
